1. Scope and operator
Tru-Impress, LLC ("Tru-Impress AI," "we," "us," or "our") operates the Tru-Impress AI website and its public pages, tutorial library, customized learning-path planner, member area, AI Course Assistant, AI Report Reviewer, and related support services (collectively, the "Services"). This Privacy Policy applies when you visit or use those Services or communicate with us through the website.
Public-preview status: during the current free soft launch, paid checkout, membership registration, member accounts, and live member AI tools are not enabled. The account, transaction, and live AI categories below apply only if those functions are later enabled and you choose to use them.
It does not govern a third-party website or service that has its own privacy policy, even if the Services link to it.
2. Information we collect
Information you provide
- Account and membership information: name, email address, username, profile details, membership level, account status, and related support records.
- Transaction information: plan, price, subscription status, billing dates, payment status, and limited transaction identifiers. Payment providers process payment-card details; we do not intend to store complete payment-card numbers in Tru-Impress AI.
- Communications: name, email address, organization, selected topic, message, and any other information you choose to send through the Contact page or another support channel.
- Launch-notification requests: name, email address, optional organization, and an optional note when you ask us to notify you after paid enrollment opens. We send one enrollment-opening email; this is not a recurring newsletter subscription.
- Course Assistant submissions: your question, any lesson context included with it, and the response generated for you.
- Report Reviewer submissions: the text you paste or text extracted from an allowed TXT, DOCX, or text-based PDF; an optional title; review settings; lesson context; and the uploaded filename.
Information collected automatically
We and our hosting, security, and platform providers may process IP address, browser and device type, operating system, requested page, referring page, date and time, error records, security events, and similar technical information. The AI tools also record usage counts and reset periods so that plan limits and abuse protections can operate.
3. How specific learning tools handle information
Customized learning-path planner
The planner runs in your browser. Your selections and generated path may be saved in local storage on that browser and device so you can return to the plan. The planner does not require you to upload a dataset. You can remove its saved state by using the planner's clear control or clearing site data in your browser.
AI Course Assistant
When the live Assistant is available, your question, lesson context, and relevant tutorial guidance are sent from our server to OpenAI's API to generate an answer. Tru-Impress AI stores account-level usage counts and timestamps for limits and administration. It does not create a user-visible transcript history by default. A limited guest demonstration mode, when available, uses local guidance and does not send the question to OpenAI.
AI Report Reviewer
When the live Reviewer is available, the report text and relevant tutorial guidance are sent from our server to OpenAI's API to generate educational feedback. Original uploaded files and full submitted report text are not retained in the Tru-Impress AI review-history database by default after processing. For signed-in users, the Service saves the generated review, related tutorial links, report settings, input length, uploaded filename, a short excerpt of up to 300 characters, and creation time. You can delete a saved review from Review History; deletion removes that review record from the active website database, subject to temporary backup, security, or legal-hold copies. A limited guest demonstration mode, when available, accepts pasted text only, uses local guidance, and saves no review history.
Do not submit confidential or regulated information. Remove names, identifiers, unpublished confidential material, student records, health information, financial information, account credentials, payment details, proprietary datasets, and any content you are not authorized to disclose before using either AI tool.
4. How we use information
We use information to:
- provide, personalize, maintain, and secure the Services;
- create and administer accounts, memberships, subscriptions, and usage limits;
- generate Assistant answers and Report Reviewer feedback;
- save and display review history when that feature is used;
- process payments and maintain transaction records;
- respond to support, privacy, legal, and membership requests;
- send the single enrollment-opening notice you specifically request;
- detect misuse, investigate errors, prevent fraud, and protect users and the Services;
- evaluate and improve functionality, accessibility, accuracy, and learning resources; and
- comply with law and enforce our agreements.
Where law requires a legal basis, we process information as necessary to provide the Services or perform a contract, for legitimate interests such as security and improvement, with consent where requested, and to meet legal obligations.
5. When we disclose information
We may disclose information only as reasonably necessary to:
- Service providers: website hosting and infrastructure providers, WordPress and membership-service providers, payment processors, email and support providers, security providers, and OpenAI as the AI-processing provider.
- Legal and safety purposes: comply with law or valid legal process; protect rights, safety, and property; investigate fraud or misuse; or enforce our Terms of Use.
- Business changes: evaluate or complete a merger, financing, reorganization, sale of assets, acquisition, or similar transaction, subject to appropriate safeguards.
- At your direction: when you ask us to disclose information or clearly authorize the disclosure.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising or use third-party advertising trackers in the Services described by this policy.
6. Cookies and local storage
WordPress, account, membership, security, and hosting components may use cookies that are necessary for login, authentication, session continuity, preferences, and security. The customized planner and guest tool demonstrations may use browser local storage for saved selections, a generated path, access state, and usage counts. You can control cookies and clear local storage through your browser, but disabling necessary storage may prevent parts of the Services from working.
We do not use the Services for third-party behavioral advertising. If optional analytics or other nonessential technologies are introduced, they must be presented and managed as required by applicable law.
7. AI processing and educational limitations
Assistant and Reviewer outputs are generated using automated systems and may be incomplete or incorrect. These tools provide educational guidance only. They do not make legal, employment, admissions, credit, health, financial, or other decisions that produce legal or similarly significant effects. You remain responsible for reviewing source data, software output, methods, institutional requirements, and any report you submit or publish.
OpenAI processes API inputs and outputs under its applicable business terms and data controls. OpenAI states that API data is not used to train its models by default unless the customer opts in, and that default abuse-monitoring logs may be retained for a limited period. Provider practices and configured retention controls are governed by the provider's current terms and settings.
8. Retention
We retain personal information only for as long as reasonably necessary for the purpose described in this policy, including to provide the Services, maintain security and financial records, resolve disputes, and meet legal obligations.
- Account and membership records are generally kept while the account is active and for a reasonable administrative or legally required period afterward.
- Transaction records are retained as required for accounting, tax, fraud-prevention, and dispute purposes.
- Contact messages may remain in our email or support systems while needed to respond and maintain appropriate records.
- Launch-notification contact information is retained until the requested notice is sent, you withdraw the request, or we decide not to open enrollment, followed by a reasonable administrative period.
- Assistant and Reviewer usage counters reset on their configured daily or monthly schedules; associated administrative records may be retained for security and support.
- Reviewer history remains associated with the account until the user deletes a review, the account is closed and deletion is appropriate, or retention is no longer necessary.
- Original Reviewer uploads and full submitted text are not retained in the Tru-Impress AI review-history database by default, although they are processed transiently and may be handled for a limited period by infrastructure and AI providers under their settings and legal obligations.
- Browser local storage remains on the device until you clear it or the browser removes it.
Backup, security, and legal-hold copies may persist for a limited additional period before deletion or isolation.
9. Security
We use reasonable administrative, technical, and organizational measures designed to protect information, including server-side API credentials, access controls, input validation, file-type and size limits, sensitive-information screening, and restricted member routes. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. You are responsible for protecting your login credentials and notifying us promptly of suspected unauthorized access.
10. Your privacy choices and rights
Depending on where you live, you may have rights to request access, correction, deletion, restriction, objection, or portability of personal information; withdraw consent; appeal a denied request; or receive information about processing and disclosures. You may also:
- edit available profile information or close an account through account controls or support;
- delete individual saved Reviewer items through Review History;
- clear planner and guest-tool data through the tool or browser settings; and
- cancel a membership according to the Terms of Use and Refund and Cancellation Policy.
Because we do not sell personal information or share it for cross-context behavioral advertising, there is no sale or targeted-advertising opt-out to exercise for the practices covered by this policy. We will not unlawfully discriminate against you for exercising a privacy right.
To make a request, use the Contact page and select Privacy or data request. We may need to verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, subject to verification. If we deny an appealable request, you may reply through the same channel and ask for an appeal.
11. Children
The Services are intended for adults and older learners and are not directed to children under 13. We do not knowingly collect personal information from a child under 13 without legally required authorization. If you believe a child has provided personal information, contact us so we can review and delete it as appropriate. A minor should use the Services only with permission and supervision from a parent, guardian, instructor, or institution as appropriate.
12. International use
Tru-Impress AI and its providers may process information in the United States and other countries where they operate. Those countries may have different data-protection laws. Where required, we use lawful transfer mechanisms and appropriate safeguards.
13. Changes to this policy
We may revise this Privacy Policy to reflect changes in the Services, providers, or legal requirements. The revised policy will be posted here with a new effective date. If a change materially affects how we use information, we will provide any additional notice or choice required by law.
